Managing several projects<\/p>\n

A manager wrote to me: \u201cAs a manager, I am responsible for several projects in my company. My project management training only focuses on one project at a time so I am worry that I cannot do a good job. Please advice.\u201d<\/p>\n

Answer: It is a challenge to be a manager for several projects at the same time but it can be done. First, you should keep all projects separately because if you mix them up, you will be confused. Second, you should not assign people to work on different projects at the same time as it will create more confusion. Third, make sure that you keep all projects separately on your computer; else you will make mistakes.<\/p>\n

You should set priority on these projects based on which ones will need more attention than others. You should plan each project separately, document them clearly then follow these project plans closely. You must be conscious about what needs to be done on each project on a daily basis. If you focus too much on one project but ignore others, you may allow things to get out of control. Since each project has different schedules, you must follow them carefully and try to balance your time on each project based on your priority.<\/p>\n

The most important thing is to manage your time effectively when managing several projects at the same time. If you fail to do that, you will get into the dilemma of having more than one of those projects becoming urgent simultaneously. To avoid this, you must keep the dates for each phases of each project as far as apart as possible. It is impossible to review several projects on the same day, it is impossible to make the right decision when you are dealing with many emergency issues.<\/p>\n

As a manager of several projects, you cannot do everything by yourself so you must rely on other technical leads to help you. You must learn how to delegate some tasks to them as it will make thing easier for you and it will give your technical leads the opportunity to learn project management skills. As you breakdown tasks for each project, you must decide which ones are important that you must manage and which ones should be assigned to the technical leads. You must delegate early so they can start helping you in the beginning of these projects.
